Sue Sheppard Acupuncture is committed to providing a professional, respectful and well-organised clinical environment for all clients. Appointment times are reserved to allow appropriate preparation, continuity of care, and the use of treatment facilities.

This Cancellation Policy outlines our approach to appointment changes, late cancellations and missed appointments. It is designed to be fair, transparent and considerate of both clients and the operational requirements of the clinic, including pre-booked treatment rooms and practitioner availability.

We recognise that unforeseen circumstances can arise and will always aim to manage changes with understanding and discretion, while maintaining the integrity of scheduled care for all clients.

Providing Notice of Changes

At our clinic, each appointment time is thoughtfully set aside just for you. This allows us to prepare the space, ensure a calm and unrushed experience, and honour the time required for your care.

​If you need to change or cancel your appointment, we kindly request at least 24 hours’ notice. This allows the appointment time to be offered to another client and enables adjustments to clinic room bookings.

Late Changes (Less Than 24 Hours' Notice)

Changes made with less than 24 hours’ notice may incur the full consultation fee.
In some circumstances, treatment rooms are hired in advance and the clinic may still be responsible for those costs when late notice is given.

Rescheduling Your Appointment

Rescheduling with less than 24 hours’ notice may still incur applicable room hire or late change costs, even where a new appointment time is arranged.

Where adequate notice is provided, or where the appointment time can be reallocated, fees may be reduced or waived at the clinic’s discretion.

Missed Appointments (Non-Attendance)

If you are unable to attend and do not notify the clinic, the appointment may be treated as a missed appointment and the full consultation fee may apply, as the time and treatment space have been reserved.

A Considered and Flexible Approach

We understand that unexpected situations can arise. The clinic reserves the right to exercise reasonable discretion in adjusting or waiving fees where appropriate.
